Closed-Loop Communication & Handoff

A message is not successful because the sender said the words. It is successful when the receiver can reconstruct the operational state, act without guessing, and accept a defined piece of ownership.

SENT ≠ RECEIVED ≠ UNDERSTOOD ≠ OWNED. The loop closes only when the receiver's model is checked against the sender's intended state and responsibility is explicit.
Walkthrough

Know what the exercise is testing before you transmit.

You will receive a bounded operational state, decide what is established versus uncertain, build a concise handoff, inspect what the receiver actually reconstructed, repair misunderstandings, and transfer ownership. The final problem changes context so memorizing the first message will not qualify you.

Not being tested
Communication jargon, theatrical brevity, perfect memory, or a single magic script.
01 / Build stateSeparate what is true from what is unresolved. Before sending, classify current state, evidence, uncertainty, actions, constraints, clocks and ownership.
02 / ComposeTransmit enough for action.Choose language that preserves distinctions instead of collapsing them into “handled,” “probably,” or “take over.”
03 / Check backInspect the receiver's model.A believable readback may still contain false certainty, a missing clock, or unclear ownership.
04 / Repair + transferCorrect the model, then assign ownership.Transfer later to a different Black Knight service state with less scaffolding.
Capability lawA handoff is not a compressed story. It is a state-transfer instrument: enough information for the next person to know what is established, what remains uncertain, what has already been done, what must not be violated, what decision is needed, when it is needed, and who now owns it.
Situation → teach → classify

Build the situation before you build the message.

A university environmental test bay is changing shift. Chamber B4 is paused after an airflow alarm. The specimen is stable for now, but a decision clock is running. Your job is not to diagnose the equipment; it is to hand off the operational state without inventing certainty.

Proof target
Correctly distinguish established fact, uncertainty, prior action, constraint, decision, clock and ownership.
Method

Do not flatten uncertainty.

“The damper is stuck” and “damper position is unknown because feedback is stale” are not equivalent. One is a diagnosis. The other is the current evidence boundary.

Situation model

Build before compressing.

The message comes later. First establish what each statement actually contributes to the receiver's operating picture.

Not yet classified
Situation Brief
Work in two short passes. The categories are supplied because the capability is using distinctions, not memorizing labels.
How to reason from the brief

Do not guess a label. Ask what job the sentence performs.

1 / Read literallyWhat does the source actually say, without adding a diagnosis?
2 / Ask the distinctionIs this present state, evidence, uncertainty, action, constraint, decision, clock, or ownership?
3 / Choose between neighborsEach question now offers only the two categories that are easy to confuse here.
4 / Check consequenceAsk what the receiver would be licensed to believe or do if you classified it that way.
Pass 1What is true now?

Classify current state, established evidence, unresolved uncertainty, and action already taken.

StatementRole in the handoff
Worked reasoning / pass 1
Current state“Paused in STANDBY since 14:22” tells what condition exists now. It does not describe the action that created it.
Established evidenceHigh rear-filter differential pressure and normal chamber power are directly reported measurements, so they are established evidence.
UncertaintyDamper position is explicitly unknown because feedback is stale. “Unknown” must not be converted into “stuck.”
Action already takenRun stopped, standby selected, and hold tag applied are completed interventions, not current-state descriptions.
Compose / predict receiver state

Choose language by what it lets the receiver reconstruct.

Build a six-line handoff in two short passes. Each line has a precise version and a tempting version that compresses away a useful distinction. The Situation Brief remains available above whenever you need to look back.

Rule
Concise is good only after the message remains reconstructable.

UncertainDamper position unknown because position feedback is stale.
Action doneRun stopped; standby selected; restart hold tag applied.
ConstraintDo not restart until airflow path is verified locally.
DecisionVerify damper position; decide resume versus specimen transfer.
ClockDecision/check-back by 14:45; standby margin ends 15:10.
OwnershipOutgoing operator owns the state until the receiver explicitly accepts the restart/transfer decision.
Assumptions / boundariesNo equipment diagnosis is established. Local airflow verification has not occurred. Restart is not authorized until the stated constraint is satisfied.
Show how this brief was derived

Present condition comes from what is true now. Evidence comes from measurements actually reported. Uncertainty stays unresolved when the source says it is unresolved. Action records what has already been done. Constraint limits permissible action. Decision names the next unresolved choice. Clock names when it must be revisited. Ownership names who is responsible for that next decision.

This brief stays available because the skill is using the situation correctly, not memorizing it.

Receiver reconstruction

The receiver's model is the real output.

One phrase was interrupted during transmission. Other errors, if any, come from what you chose to send. Compare intended state with reconstructed state before allowing action.

Check-back
Do not ask “Did you understand?” Inspect what the receiver actually understood.

Receiver readback
Decision

Do you let the receiver act?

If any operational dimension is ambiguous or missing, accepting the handoff would convert uncertainty into action authority.

Repair / closed loop

Correct the receiver's model, not your own intention.

For each dimension, decide whether the readback is accurate or needs correction. Correct answers expose the exact repair. This is not a writing contest: the evidence of skill is detecting where the shared model diverged.

Failure mode
“That's basically what I meant” is not a safe closure rule.

Confirm / ownership

Close the loop by making ownership explicit.

The repaired readback now matches the Situation Brief. One step remains: the receiver must accept a defined decision scope and a next contact point. Understanding without ownership is still an incomplete handoff.

Corrected receiver readback
Bay 4 is paused in STANDBY since 14:22. High rear-filter differential pressure and normal chamber power are established. Damper position is still unknown because position feedback is stale. The run is stopped and the restart hold remains. I will verify the airflow path locally, then decide resume versus specimen transfer by 14:45. I accept ownership of that restart/transfer decision and will check back at 14:45 or sooner if local evidence conflicts.

Cross-context / Black Knight training simulation

Same handoff law. Different system and vocabulary.

Observation Quarters environmental loop OQ-2 is changing watch. Build a handoff from the raw situation brief. This time the six-line schema is not labeled for you. The reference shelf remains available because reference access is not a failure of competence.

Cross-context test
Preserve state, uncertainty, constraint, decision clock and ownership without importing an unsupported diagnosis.
OQ-2 Situation Brief
Source 01Condenser BYPASS active; cabin humidity 54% and stable.
Source 02Drain-pump current normal; M2 telemetry spikes intermittently.
Source 03Real local moisture versus a wet M2 connector remains unresolved.
Source 04Bypass holding; panel sealed; no reset or service-branch opening without maintenance lead.
Source 05Inspect M2 externally and decide maintain bypass versus maintenance handoff by 22:38; access window closes 22:40.
Source 06Receiver owns OQ-2 after accepted readback and checks back at 22:38 or on conflicting evidence.
Open handoff reference
A reconstructable handoff preserves: current state; established evidence; uncertainty; action already taken; constraint/abort boundary; decision or help needed; next clock/contact; and who owns the next decision. The exact wording may change.
Select six transmission lines

Choose up to six. Some statements sound confident but invent a cause, erase the clock, or authorize an action the Situation Brief does not permit.

Record / maintain

Record what survived the handoff.

A useful handoff record shows whether the receiver reconstructed situation, uncertainty, constraint, decision clock, and ownership—and exactly where the two models diverged.

Session scope
Communication reasoning only; interruption, fatigue, conflict, and real decision rights require paired or field practice.
Closed-loop communication record
Next real-world step

Use a real receiver.

Practice with a partner on ordinary bounded tasks. The receiver should reconstruct current state, uncertainty, required action, clock and ownership from the message—then deliberately introduce interruption or competing workload.

Maintenance

If your handoffs become “I sent it” or “they should know what I mean,” the capability is degrading even if your message templates remain polished.
